Payment Policy

Payments for services rendered or charges incurred are due at the time of service or at the time charges are incurred, and we are currently accepting credit, debit, and HSA/FSA cards and some insurance plans.

  • Sessions: Self-pay fees without in-network insurance discounts will vary depending on the type and length of the session and can be found in your New Client documents. Reduced rates are available for those with financial need upon request. More information about using both in-network and out-of-network insurance is below.
  • No-shows and late-cancels: Appointments that are not kept or that are not canceled or rescheduled with more than two business days notice are charged the full appointment fee at the self-pay rate (even if you have insurance, because insurance does not cover these types of fees). This is because your appointment times are set aside exclusively for you and usually cannot be given to anyone else on such short notice.
  • Administrative fees: We are happy to consult with another provider or send records upon your request for free. More extensive administrative tasks, such as assisting you with appealing insurance denials, responding to legal requests related to your case, or preparing a summary of your records, are billed at an hourly rate. 


Using Insurance

  • In-network: We are currently in-network with some Providence, PacificSource, Kaiser, Aetna, and BCBS/Regence/Anthem of Oregon and Washington health plans and can bill them directly for you. If you would like to use one of these, your copays or coinsurance amounts are due at the time of service, and you may be charged for any additional deductible or other amounts not covered or paid by your plan. Your insurance company will need to receive some of your PHI (protected health information) including a diagnosis in order to process claims for your sessions and provide payment. 

Please also be aware that possession of an insurance card and any estimation of benefits or prior authorization received ahead of time are not guarantees of payment, and it is ultimately your responsibility to verify with your insurance company that your Provider is in-network with your particular plan if you need to use your in-network benefits. More details about using insurance and special billing situations, such as loss of eligibility or having dual insurance coverage, can be found in your New Client documents.

  • Out-of-network: We may be in-network with other insurance plans in the future, but at this time, we cannot bill them directly. If you have a plan that your Provider is out-of-network with, your sessions will be set to self-pay at the time of service and you will be provided with receipts ("superbills") that you can submit to your insurance company for potential partial reimbursement. We cannot guarantee if and how much they will reimburse you, and there is no amount of reimbursement that is due from Happy Heart Therapy or any of its Providers after you self-pay for any reason.   • You can choose not to use insurance: The benefits of not using insurance are greater privacy and confidentiality, the ability to work on personal growth without having a diagnosis assigned, no limitations or restrictions on the length and amount of your sessions, and no financial surprises if your insurance denies or withholds payments. Especially if you have a high-deductible or out-of-network plan, the amount you pay out-of-pocket can be nearly as much as self-paying without using insurance.
